Job Description:
The role of an Administrative Assistant in an online school is crucial in providing essential administrative support to ensure the smooth operation of the virtual learning environment. As a key member of the administrative team, the Administrative Assistant plays a central role in handling various administrative tasks, facilitating communication, and supporting day-to-day operations.
Responsibilities:
- Office Management: Maintain organized and efficient office operations, including managing schedules, appointments, and calendars for school administrators and staff.
- Communication: Serve as a primary point of contact for inquiries, emails, and phone calls, responding promptly and professionally to students, families, educators, and stakeholders.
- Documentation: Assist with the preparation, editing, and distribution of documents, reports, and correspondence, ensuring accuracy, completeness, and confidentiality.
- Data Entry and Record keeping: Maintain accurate records and databases of student information, enrollment data, attendance records, and other administrative information using the school's management systems.
- Meeting Coordination: Schedule and coordinate meetings, conferences, and events, arranging logistics, preparing agendas, taking minutes, and following up on action items as needed.
- Support Services: Provide administrative support to various departments and teams, including processing purchase orders, coordinating travel arrangements, and assisting with special projects and initiatives.
- Technology Assistance: Provide basic technical support to students, educators, and staff on the use of online learning platforms, digital tools, and software applications, escalating technical issues to appropriate personnel as needed.
- Resource Management: Assist with inventory management, ordering office supplies, materials, and equipment, tracking expenses, and reconciling invoices and receipts as necessary.
- Orientation and Training: Assist with the onboarding process for new students, educators, and staff, providing orientation materials, resources, and guidance to ensure a smooth transition to the online learning environment.
- Administrative Support: Perform general administrative tasks, such as filing, copying, scanning, and organizing documents, as well as other duties as assigned by school administrators or supervisors.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Previous experience in administrative support, office management, or related roles.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong organizational, communication, and interpersonal skills.
- Attention to detail, accuracy, and the ability to prioritize tasks and manage time effectively.
- Customer service orientation and the ability to work collaboratively in a team environment.
- Familiarity with online learning platforms, educational technology, and digital resources is a plus.
- Commitment to maintaining confidentiality, professionalism, and a positive attitude in a fast-paced environment.
